an example, limits of use, an owner, a date, and a version. We must also know whether the
prompt is tied to a particular tool or model, because behavior may change when it is moved.
A template fixes the shape of an input or an output. A writing request form ensures the
purpose, the audience, and the sources are present. A report template ensures the sections
stay constant. A checklist prevents a check from being forgotten. A gold example shows the
level of quality that words alone may struggle to describe.
Version control is not limited to software. When a prompt or a template changes, record
what changed, why, who approved it, and what effect it had on the results. Avoid editing the
version in live use without testing, because a small change in the instructions may improve
one aspect and weaken another.
A workflow repository can be created containing process cards, diagrams, templates,
prompts, sample inputs, escalation rules, and performance indicators. This does not mean
building a complex system from the outset. An organized folder or a shared knowledge space
is enough if ownership and versions are clear.
Standardization does not mean preventing flexibility. We fix what must stay constant, such
as the fields and the approval, and leave room to adapt the explanation or the tone. The goal
is to reduce unhelpful variation, not to produce identical outputs in every case.
